Welcome Back!


 We hope you had a restful break and a great first week back with students!  Below you will find some important information/reminders.



Please mark your calendars for our beginning of the year tech/media meeting, which will be virtual via Google Meet (we'll send out the links closer to the date, too). 

Date and time options:
Option 1: Tuesday, August 31st 3pm-4pm OR
Option 2: Tuesday, August 31st 4:30pm-5:30pm


Both meetings will cover the same information, so just pick a time that works best with your schedule. 
Please remember that it is mandatory for all CTAs and tech contacts to attend one beginning of the year meeting and one end of the year meeting in order to maintain rights and access. 


*IMPORTANT* Before you checkout chromebooks to students, look in Destiny to see if they have devices not yet returned from the 2020-21 school year.  


JCPS Technology Services recommends Chromebooks for BYOD. We do not recommend Apple or Windows products to use safely on our networks. Other devices, such as Windows or Apple, are not approved due to security issues and an infection could take down the school and entire district. There is no way to ensure updates and virus protections are maintained on personal devices.  If schools have students bringing those devices in, just know they are not approved and put our network at risk.

 

Please archive/delete Google Classroom groups from last year.  Last year's restrictions through Relay Classroom will not release those students until the class has been archived/deleted.  


We have our 2021-2022 dates for Technology Discards/Recycle!

**VERY IMPORTANT** 

If you have any projector bulbs that need to be picked up, please put in an IT Direct Ticket in ASAP.  Please do not place them with the Technology Discards/Recycle items or in the courier because the likelihood of the bulb breaking and exposing others to Mercury would be too great.

New Location & New Processes


Technology Services is now located at Facility Services. Since we had a site change, our phone number and extensions were changed as well.  If you are calling outside of JCPS, our phone number is 919-205-9050 and you will be prompted to enter an extension.

Our district directory will be updated in the coming weeks.  In the meantime, you can access our extensions here.

Please make note of these changes and share this information as needed.

New User Agreement for Chromebooks & Hotspots
We will be using a new form for checking out chromebooks and wifi hotspots (these document have been combined)  Here is the link to the new version (the Spanish version is also included).  Information is forthcoming regarding hotspot distribution based on needs identified by the principals.  Note there is a limited supply and special set up by tech services is required.

All student accounts should be checked to make sure they don't already have a device prior to another device being issued.  Report non-returns to Christa Leverette so they can be disabled, we will need serial number and barcode.


Chromebooks *CRITICAL*

Help Button
We are in the process of creating a "help" option for parents and students to be able to reach out for assistance at the school level.  This will on your website and each school principal will be asked to identify a few people to receive notification and follow through to get back with the student/parent with assistance.  All the details are not available at this time, but wanted to let you know that you might be asked to be part of this process.  We appreciate in advance your willingness to always help!


Classlink
JCPS recently purchased a new system called Classlink this will be our new single sign on option.  It is very flexible and you will find it much more friendly than our previous systems.  We are in the process of rostering our apps and setting this up - it will basically act as a launchpoint for all apps students, teacher and parents use once we have it completely set up with a true single sign in.  If you would like to learn more, please check out the Webinars offered on their Classlink Academy for Teachers:  https://www.classlink.com/resources/webinars



K-2 Email Activated
Because our students will be remote learning this fall, Tech Services has turned on the email feature for our K-2 students.  Please note, K-2 students can only send/receive emails to/from students and staff.   If you are an elementary contact please help make sure your teachers know this is available and if possible offer tips for teaching their students how to access messages and respond as well as digital citizenship tips for email.


NEW Digital Learning Standards for Students
The new digital standards are now in effect for 2020-21 school year. We have added some helpful documents to the Digital Learning page for reference.  This is replacing the Information Skills curriculum for Media and Tech leaders who used those standards prior to this year.

Chromebook update/NC Test


We are currently working on a Chromebook update in preparation for the upcoming EOC testing window at the close of the semester.  If you have attempting to use the NC Test app you might have to wait for the update to the chromebook in order for the app to show up and work properly.  This might require a reboot, and will at minimum require that the devices be turned on.  Thank you for your continuous support through these processes.

Reporting Chromebooks & iPads to Technology Services



Whether you are receiving new Chromebooks and/or iPads, sending them off for repair, reporting them as lost/stolen, or discarding them, Technology Services must get information regarding each device so we can take the appropriate action in our system.  With that in mind, a new form has been created and should be used from here on out.  This form will replace the old form and should be used instead of emailing the information. 


It is very important to maintain accurate records in Destiny, especially regarding serial numbers.  Sometimes when scanning the box the device came in, a letter may be added to the beginning or end of the number making it very difficult to determine the actual number.  Always double check the serial number on the device when entering information in Destiny. 

Please be aware that this process in no way updates their record(s) in Destiny.  You will still be responsible to complete necessary disposition forms as applicable (Title I, CTE, etc.) and add/update the record(s) in Destiny.  Also, when you are certain you have a lost/stolen device, you will report it on this form as well as contact Technology Services so we can begin immediate tracking of the device(s).

HP G6 EE Chromebook Issues

We are receiving reports of various issues with the HP G6 EE Chromebooks.  This is the model that was purchased for the recent district wide procurement and has been the current model for the district and school purchases since April 2018.  For schools that have just received Chromebooks and/or will be receiving any new Chromebooks, be sure to get these devices out of the box and put to daily use! This also means we have some devices nearing the end of their manufacturer's warranty.  We encourage folks to make certain that this specific model is being used daily.  Also, be sure to process warranty work as quickly as possible.  We also advise you to check your damaged and/or repair pile for any remaining warranty issues before they expire.

MAP Testing & Issues with Chromebook Displays

Here are some instructions you can share for issues we've seen occasionally involving chromebook displays and MAP testing:

Take chromebook out of high contrast mode:
1.  Login with a standard JCPS email account
2.  Click the Time Wi-Fi Power Avatar icon box in the bottom corner
3.  Select the Settings icon (looks like a gear)
4.  Type Accessibility in the search field
5.  Click Manage accessibility features
6.  Turn off Use high contrast mode
7.  Sign Out
8.  Launch the NWEA kiosk app

Increase resolution size to see more at the same time:
1.  Login with a standard JCPS email account
2.  Click the Time Wi-Fi Power Avatar icon box in the bottom corner
3.  Select the Settings icon (looks like a gear)
4.  Type Display in the search field
5.  Click Displays
6.  Drag the slider to the left until you have at least 1024 x 768
7.  Sign Out
8.  Launch the NWEA kiosk app

Reset chromebook display zoom level:
1.  Login with a standard JCPS email account
2.  Press "CTL" key + "SHIFT" key + "0" (zero) key all together
3.  (note: you may need to keep pressing the keys several times)
4.  keep trying until you see a box appear stating 100% zoom level
5.  Sign Out
6.  Launch the NWEA kiosk app

NCTest and Chromebook Reminders


With state testing approaching, it is important to begin preparing chromebooks to ensure they meet the minimum state testing technical requirements. We have determined there are some schools with over 100 devices below the minimum requirements.  The current required OS version is 58 or higher.  

How do I check the chrome OS version?

type chrome://help in the address bar 




In the above example, the chrome version is 63 and acceptable for use meeting state testing requirements. The latest up-to-date version available is version 65. Even though this example meets the minimum acceptable requirements for state testing go ahead and click "CHECK FOR UPDATES" to bring the chromebook up to the latest up-to-date version.

HP Chromebook Not Powering On or Charging When Plugged In?




If you find that your HP Chromebook will not power on or charge when it has been plugged in, unplug the charger and let it sit for a few seconds.  Plug the charger back in to see if it works.  If it does not, you will need to key in an IT Direct Request. 

We hope this information will save you some time and get devices back in the hands of our students quicker!

Note:  HP Chargers have an internal circuit breaker which sometimes may need to be reset.  We do not know if this method would work on other models but it is worth a shot!

Friday Google Tidbit: New App Available to Create Screencasts on Chromebooks!


Looking to do a screencast on a Chromebook?

CaptureCast is a new app available in the Chrome Web Store that allows you to create screencasts and upload to YouTube or Google Drive. CaptureCast also allows you to record your screen and the webcam at the same time, this is a feature that most Chrome screencast apps do not have.

I discovered CaptureCast after experiencing some difficulties using Screencastify and I really like how easy it is to use.

Chromebook purchases


ALL chromebook purchases need to be added to the appropriate location in our domain.

Therefore, all chromebook purchases especially grants need to be added to the domain which requires paying an enrollment fee and you should email April Richardson with the serial numbers of the new devices.
(if the devices are bought with a purchase order this fee is included) 

If you have a question - go ahead and send her the serial numbers to be sure.

Chromebook Memory Full errors!

Chromebook Memory Full errors!
Try Power washing and re-enrolling any device giving you memory errors, it should help resolve the error messages.
Here are the steps: 
  1. Press Esc + Samsung Chromebook Refresh key + Power. The screen displays a yellow exclamation point (!).
  2. Press Ctrl + D to begin dev mode, then Enter. The screen displays a red exclamation point (!). 
  3. Press Ctrl + D. The Chromebook deletes all local data, returning to its initial state. NOTE: You will receive a screen stating the device owner has disabled development mode. Ignore this message. The data deletion occurs.
  4. The chromebook restarts with "no network", attach chromebook to "Guest" network. 
  5. You will receive "Enterprise Enrollment", Is this a teacher exclusive chromebook? If YES, use your staff account to enroll Chromebook into the johnston.k12.nc.us domain. Is this a student chromebook? If YES, enroll Chromebook into the jcsnc.org domain using any student account.

Attention: Change to Chromebook Logins!


Google recently announced that accounts with excessive multiple log ins will be disabled.  This is part of what has prompted our change in NCTest.  While this new policy will effect all accounts, the imaginecb@jcsnc.org is the main one.  Please be aware that the district has no control over this and we don't know when it will roll out, but it has already been deployed to other districts around us, so we anticipate it to be soon.  If you are using the imaginecb@jcsnc.org account, you will want to reference this past document about using Imagine Learning logged in as a student for all future access.

Reminder: New Chromebook Login Process for NCTest

Reminder: This new process will go into effect tonight (1/4/16).

New NCTest Login Process for Chromebooks


Starting January 5th, there will be a new login process on ALL Chromebooks to access NCTest. This new process is for Chromebooks only and should make it easier for students to access NCTest. 

Tonight, a new "Apps" button will be added to the login screen of every Chromebook enrolled in our district.


To access NCTest, students should hover over the "Apps" button on the lower left corner of the Chromebook login screen.


Click on the "NCTest" app to launch the test portal.


If the NCTest app button is clicked by mistake, you must click on one of the portal buttons and then click exit to leave the app.


Please note that with this new process, the generic nctestcb@jcsnc.org login will no longer be needed and will not work after January 5th.

Please share this important update with your staff! 
Even if they are not involved in testing, they need to know how to exit the NCTest app if it is clicked on by mistake.

If you have a Chromebook that does not get the "Apps" button after January 5th, the Chromebook needs to be re-enrolled, please contact your Tech Contact or Technology Services.

Many of you have ordered or plan to order Acer Chromebooks.  We have worked with the company to set up a premier support for these devices while in the 1-year warranty period.

You should be receiving an email regarding your PIN and Customer ID - this is unique to you and your school.  You will need this information for future reference so when it comes be sure to store the information in a safe location.

If you need to use the services here are the directions for Phone or Website Support:

Chromebook Individual Grants

Quick clarification - please share with the Asset Manager at your school (some school this is the Media Coordinator)

Yesterday we issued nearly 62 chromebooks to individual grant winners.  These chromebooks were purchased to support professional growth and development and here are the stipulations that we shared with each winner:

  1. The chromebook has been checked out to you and is assigned to your school’s asset inventory. If you change locations (move to another school), the device can go with you.  (Please notify the ISD team know if you change schools). If you leave the district, the device will be returned to the last school where you worked.
  2. Your device is covered under a one year warranty for manufacturer defects. Should there be an accident, the cost of the repair will be your responsibility. Repairs could cost as little as $50 or as much as a full replacement.
  3. You are responsible for maintaining your device in working order. This includes the charging cord that was supplied with your device.
  4. This device is intended for your personal professional development. You may choose to allow students to use your device, but be vigilant if they do.
Thank you for helping support this initiative and continuing to explore ideas with your teachers about Google and their professional use of their Google accounts to grow with their students! This is a great opportunity to get your teachers on board using Google in the classroom.
